From a new team to the first swap
Setting up takes about as long as writing one week's schedule by hand. After that, most changes happen without you.
Start your team
Create an account and pick a starting point: café or restaurant, store, clinic or care team, or blank. Each one comes with the usual roles on the floor (manager on duty, keyholder, barista, cashier, nurse, front desk) and a few shift templates. Change any of it.
Turn on two-step sign-in
Owners, admins, managers and shift leads can change other people's schedules, so they sign in with a code from an authenticator app or with a passkey (Face ID, Touch ID, Windows Hello). Everyone else is encouraged to do the same.
Set the coverage rules
For each location or shift, say what has to be there: at least one manager on duty, one keyholder, two cashiers, someone with a current food handler card. Then choose what happens when a change would go below that: stop it, or send it to a manager.
Invite people
Share a code or a link, or send an invitation to an email address. Each invitation carries a role (staff, shift lead, manager, viewer, or one of your own) and expires on its own.
Build and publish the week
Add shifts from your templates or copy last week, then put people on them. Every assignment is checked the same way a swap is. When it looks right, publish. Everyone on it gets a notification, and their phone calendar picks it up.
People trade under the rules
Someone can swap with a coworker, offer a shift to one person or to anyone, drop one, pick up an open place, or ask for time off. EveShift checks the change right away. If it passes, it goes through (or to a manager, if you ask for that). If it doesn't, they see why and who could take it instead.
Clock in, and approve hours
If a location uses the clock, people punch in and out on their phone, even without signal. Managers review each pay period's timesheet (late, missed, edited punches), approve the hours and export them for payroll. Approved hours earn PTO and sick leave. Pay stays with each person.
Calendars, both ways
Each person can paste the link to their own calendar (Google, Outlook, Apple, or another job's scheduling app) and choose what the team sees: just "busy", event titles too, or nothing. And everyone gets a private link that puts their shifts in their phone's calendar.
Just you?
You don't need a team. Sign up, choose "Just my own schedule", and add your jobs: paste each one's calendar link from your employer's app, or type the shifts in. Clock in when your real time differs, and EveShift keeps your hours for each pay period and a private pay estimate. If your team joins EveShift later, you join it with an invitation code and your other jobs stay private.
What a check looks like
Every change gets one of three answers, in plain words. Heads-ups (overtime, short rest between a closing and the next opening, a minor working late) are shown next to the answer, and nobody is stopped by them.
The reasons name the people and the rule, so nobody has to ask the manager what went wrong.
- BlockedOpening Sat 6 AM–2 PM would be left without enough Manager on duty: Marcus Reed is the only Manager on duty on it, and Ivy Chen is not a Manager on duty.
- Heads-upIvy Chen would work 49.5 h that week, over 40 h. Overtime pay usually applies.
Swaps that pass: Dana Wright, Closing Sat 2–9 PM.
