Questions
Can I use EveShift now?
Yes. Create an account, then start a team or pick "Just my own schedule". It's free while EveShift is new: the price will be on this site first, and you'll get an email before any charge. If you'd rather we set the team up with you, tell us about it. The demo and the schedule maker need no account.
What does it cost?
Nothing while EveShift is new. The price will be on this site first, and every team gets an email before any charge. You can leave instead of paying and take your schedule with you.
Can I use it just for myself?
Yes. Sign up, choose "Just my own schedule", and add your jobs: paste each one's calendar link or type the shifts in. You get one week with every shift, hours for each pay period, and a pay estimate. Join a team later with an invitation code if you want to.
Who can see my pay?
You. Your rates, tips and deductions are encrypted at rest and private to your account. Managers and owners on your team see the hours you worked, not your pay. A team can give one role permission to see hourly rates; it's off by default, every look is logged, and your account page shows who has it.
Is the pay estimate exact?
It's an estimate to check your pay stub against. It uses this year's federal withholding tables, Social Security and Medicare rates, your W-4 choices, and state tax where it can be worked out; elsewhere you enter your state's withholding from a pay stub. It shows the tax year and its sources, and it isn't tax advice.
Does EveShift track my location?
No. If a location turns on the check and you agree, your phone's location is read once, at the moment you clock in or out. EveShift keeps "inside" or "outside" and a rounded distance, not where you were. You can say no; the punch still counts and your manager sees it wasn't checked.
Does clocking in work without signal?
Yes. The punch is kept on your phone with its real time and sent when the connection comes back. Your manager sees it was made offline.
What's a coverage rule?
A minimum for a shift: at least one manager on duty, one keyholder, two cashiers, someone with a current food handler card. When a swap, offer, drop or time off would take a shift below its minimum, EveShift stops it (or sends it to a manager, if you prefer) and says who could cover instead.
Can a manager still approve something a rule blocks?
Yes, if their role allows it and the problem is coverage. They add a short note, and it goes in the history. A rule about qualifications (someone without the required certificate), double booking or approved time off can't be overridden.
I made a mistake on the schedule. Can I undo it?
Yes. Adding, editing, deleting, assigning, giving someone other hours, copying a week and changes to several shifts at once each have an Undo button right after, and the change history under Schedule → ⋯ → Changes lists the last 50 with Undo or Redo. An undo goes through as long as nobody changed those shifts since and they haven't started, and it never double-books anyone or puts them on approved time off.
I forgot to clock in. What now?
Add the hours you worked: on Today, "Forgot to clock in? Add your hours", or under Hours & pay → My hours, "Add worked time". Pick the day, when you started and when you finished. They're saved as an added clock-in and clock-out with your note, and your manager sees that they were added. If you clocked in and forgot to clock out, the day is flagged and counts nothing until you add the clock-out.
Nobody can cover my shift. What can I do?
Tap the shift in Schedule and choose Drop. If the rules can't let it go on its own because nobody else can cover it, you can still send it to your manager, or say you can't make it because you're sick. Either way it lands in your manager's approvals, and they decide and find cover.
Can I use EveShift in dark mode?
Yes. It follows your device's light or dark setting until you pick a look: Neutral, Dark, High contrast or Warm, under Account → Appearance. Before you sign in there's a small light / dark / automatic switch next to the language, kept on that device. A team can set a default look for people who haven't picked one.
How do I leave a team?
Team → People → Leave the team, and type the team's name to confirm. Your future shifts open up for others and your open requests are withdrawn. The team keeps the hours you worked, and you keep your own copy under Hours & pay. The owner can't leave; they hand the team to someone else first. An invitation brings you back.
Who can see when I'm on shift and how many hours I have this week?
Your team decides: everyone, nobody but the managers who approve hours, or each person for themself (the default; it's off until you turn it on under Account). You always see your own. When and where you clocked in only shows to coworkers if you share your clock-ins, a separate choice.
Do swaps need a manager every time?
Only if you want them to. For each kind of request you choose: go through on its own when every rule passes, or wait for a manager. Time off always goes to a manager.
What does the team see of my own calendar?
You choose. "Busy only" (the default) shows times and nothing else: titles, places and notes are thrown away before anything is saved. "Busy with titles" also shows event names to managers. "Only me" shows nothing to anyone else. Your calendar link is stored encrypted and never shown to anyone, you included. Remove it any time and everything read from it is deleted.
Which calendars can I connect?
Any that gives you a private calendar link in iCal (ICS) format: Google Calendar's secret address, a published Outlook calendar, an Apple iCloud shared calendar, and most employer scheduling systems' "subscribe" links. EveShift reads it about every hour.
Can I get my shifts in my phone's calendar?
Yes. Each person gets a private link for their own shifts, and a personal link under More → My jobs puts every job and every team you're on in one calendar; managers can get one for the whole team. Apple Calendar and Outlook check it every few hours. Google Calendar can take up to a day to pick up a change, so for today's changes, look in EveShift.
What if I lose my phone and my backup codes?
On the sign-in screen, choose "Lost your phone and your backup codes?" and we email you a link. Opening it starts a 72-hour wait, for your safety: during it, every device you're signed in on shows it with a Cancel button, every sign-in is emailed to you with a one-click cancel link, and if you're a team owner or admin, the other owners and admins are told. After the wait, sign in with your password and a code we email you, and set up two-step sign-in again. Every other device is signed out. Nobody can skip the wait or reset it by hand, us included.
This needs your password. If you've also forgotten your password, reset it first: on an account with two-step sign-in the new password only works once you confirm it with your authenticator app, a passkey or a backup code, so use a backup code. If your password, your phone and your backup codes are all gone, choose "Lost your password, phone and backup codes?" on the sign-in page.
I lost my password, my phone and my backup codes. Can I get back in?
Yes, if you can still open the account's email, with someone who can vouch for you or with your ID. First we email the account a link; nothing moves until it's opened. On a team, the owner or a manager above you then confirms it's you in the app, after checking in person or with a call; they use their own password and two-step code and write how they checked. Owners, and people without a team, check their ID with Stripe Identity: a photo of a government ID and a selfie, on Stripe's own page. We get only whether they matched and the name on the ID, never the images. If that name and your account's full name clearly match, it goes ahead; if they clearly don't, the request is refused; if it's close, two people on our staff look at Stripe's result and both have to approve it, and we email you when they do.
Either way a 72-hour wait follows: your email, every device signed in to your account and your teams' History show it. You can cancel it, and so can your teams' owners and admins. After it you choose a new password on the device you asked from, everything that could sign in before is removed, and you set up two-step sign-in again. If a teammate vouched for you, your private pay settings and personal calendar links are cleared too, so you enter them again.
Why do managers need two-step sign-in?
Because they can change other people's schedules and see where everyone will be. Anyone who can edit, approve, invite or change roles signs in with a code from an authenticator app or with a passkey. Everyone else is encouraged to turn it on.
Does EveShift know our labor laws?
It knows where each location is and turns on the matching rules: overtime, meal and rest breaks, sick leave, advance notice and rest between shifts, and hours for workers aged 14 or 15. It shows a heads-up when a change may cross one and records who asked for each change. They're reminders, as the labor rules section explains.
Is EveShift in Spanish?
Yes. Each person picks English or Spanish, and the app, rule explanations, notifications and emails follow it. This site is in Spanish too: eveshift.com/es.
Is there an app to download?
EveShift runs in the phone's browser and can be added to the home screen, where it opens like an app. Nothing to install from a store.
Can we have more than one location?
Yes. Each location has its own default coverage and its own labor rules, and the week can be filtered by location.
How do people join?
An owner, admin or manager makes an invitation: a code and link to share in the group chat, or an email invitation that only that address can use. Each has a role and an expiry date.
How do I get help?
In the app, under More → Help and support: write what happened, add a screenshot if it helps, and send. The app version and the screen you came from go with it, by name only; never your pay or your schedule. You'll see our answer there and by email.
Can EveShift staff see our schedule?
Only if your team lets us. An owner or admin can turn on support access under Team → Setup for 1, 3 or 7 days, read only, and turn it off at any time. Every time we look shows in your team's history. We never see anyone's pay or where they clocked in.
Where is our data kept?
In EveShift's database on Cloudflare, with each team's data kept apart. See the privacy policy for what's stored and for how long.
